Planning Timeline

What should be decided, and when

12-9 months out

Venue selection with rigging, power, and load-in language reviewed before you sign. Event goal defined in one sentence. Budget range set.

6-4 months out

Show design and screen architecture approved. Run of show drafted. Presenters and segment owners confirmed.

8-6 weeks out

Content deadlines hit. Video packages in production. Labor, freight, and travel booked.

Show week

Load-in, tech rehearsal, presenter walk-throughs, full run of the open. No design decisions left.

2 weeks after

Debrief with your team, recorded content delivered, and a documented plan you can reuse next year.

Questions Buyers Ask

Straight answers, before you commit

How early should we bring you in?

Before you sign the venue contract if possible. Rigging points, power, load-in windows, and in-house AV language all affect cost and feasibility, and they're much cheaper to negotiate than to work around.

Are you more expensive than in-house AV?

Often comparable, sometimes less, because design-first specs cut line items that don't change the audience experience. We'll be certain to show you trade-offs if there are any. 

Do you travel?

Yes. We produce events nationwide and plan travel, freight, and local labor as part of the production budget.

What size events do you take?

From 150-person leadership meetings to multi-day conferences with several thousand attendees and an exhibit floor.

Can you work alongside our internal planner or agency?

Regularly. They own attendees, agenda, and hospitality; we own production execution and stay in one lane.

What do we need to have ready for a first conversation?

Approximate dates, city or venue, headcount, and the one thing the event has to accomplish. That's enough to talk usefully.
